Writing an Application Letter





First and foremost, application letter is considered a legal business letter because it serves as the basis of your employment. This is also considered as sales letter because you are also selling yourself to the company.  As you are working in the company and you will aspire for a promotion, your application letter will be also added on the documents to be deliberated for to qualify in that position.

But for you to be hired in your target company, your application letter should be well tailored to the point that the HR Head or the person responsible for additional manpower in the company should be motivated enough to continue reading your application letter.

This is the basic format of application letter:

1) Date – the date should be placed on the top-most left side of the typewriting. If you would like to follow the “block format,” everything should be placed at the right site of the typewriting. Do not use long typewriting paper. If you’ll be sending your application letter via email, I suggest you leave the date blank. Leave 2 spaces after the date.
2) The Name of the Receiver /Employer – as much as possible you need to know the name of the Manager or the HR head to be written in capital letters and in bold format. Below the name should be place the position of the person in the company.

3) Greetings – greeting should be started this way: “Sir:” or “Sir / Madam:”. This “Sir / Madam:” type is used only if you are not aware of the gender the recipient and the semicolon indicates that your letter is a formal letter. Do not use comma on this.

4) The First Paragraph – On the first paragrap, you should immediately introduce yourself, starting with “I am.” you can also highlight your name for emphasis to be followed by you skills or course(s) and the name of the school/university you graduated.

5) Second paragraph – State where did you get the information that the company is in need of additional employee – for big companies, they usually advertise on newspapers, internet and other advertising method that they are looking for additional employee. You need to mention this one. This will create a good impression to the employer, it will prove that you know what is happening around the environment.

6) Third paragraph -state some the thing you’ve done in your previous employment, an event that you did something worthwhile in your previous job, that with out you this event would not be successful with out the effort you extended. This is an experience that will surely enhance your application letter. For the newly graduate and does not have experience yet, mention a motto that best suits your personality.

7) For the last paragraph – you need to mention that you are willing to be interviewed any time convenient to them. You should not be the one asking schedule for interview. You can leave a contact number or email address where you could be contacted if given the chance. Don’t forget to say “Thank you very much” at the end you application letter.

8. Salutation – under the salutation, use “Truly yours,” not “Sincerely your,”. Your application letter is a formal business letter. It is irrelevant to use “sincerely”, this is for love and friendly letter only. Leave 1 or 2 spacer after the salutation then type your name in bold format. You need to sign over your printed name.
